How to share access to Google Analytics 4 (GA4)

Google Analytics 4 (GA4) provides a powerful platform for collecting and analyzing your website’s performance data. It’s often necessary to share this data with team members to leverage its full power. This guide will walk you through the process to share access to GA4 with your colleagues in a step-by-step manner.

Accessing the Administration Settings

Firstly, log in to your Google Analytics account at analytics.google.com. From the homepage, hover over the icons on the left side of your screen and click on the “Admin” button on the bottom left corner.

This will take you to the administration menu, where you’ll want to add new users by clicking on “Account Access Management”. If you manage multiple websites under one account, you also have the option to use “Property Access Management”. This allows you to share access to a specific website profile without giving access to the entire account.

Upon clicking “Account Access Management”, you’ll see a list of the current users with access to your account. To add new users, click on the blue plus icon at the top right, then follow it up with a click on “Add users”.

Next, type in the email addresses of those you’d like to add to the account. Make sure the “Notify new users by email” box is checked (it should be by default). Then, select the role you want to assign each new user. Each role comes with a brief description to help you choose the correct one. Administrators will have the same access as you, and this is the only role that allows users to add other users. You can apply further restrictions to these users if necessary.

Once you’ve added all the emails and selected the appropriate options, click the blue “Add” button in the upper right corner.

An email will be sent to all of the new users, inviting them to join your Google Analytics account. To accept this invitation, the invitees will need a personal Google account. Simply guide them to click on the link in the email and sign in with their personal Google account.

Upon signing in, they’ll be asked to select which email communications they want to receive. They can choose their preferences by clicking on the blue check marks, then clicking “Save”.

That’s it! All of your colleagues will now have access to your website’s Google Analytics account and can view all of its insightful reports.
